How to collect testimonials from clients (free email templates)

Most businesses have happy clients. Few have testimonials — because asking feels awkward and most people forget. This guide fixes both problems: when to ask, how to ask, and three copy-paste templates you can use today.

Why bother collecting testimonials?

📈

They convert

Social proof consistently beats any copy you write yourself. A real quote from a real customer does more work than your best headline.

🔁

They compound

A testimonial collected today still converts visitors three years from now. It's one of the few marketing investments that keeps paying.

💬

They're free

No ad spend, no production cost. Just an email or a link — and most happy customers are genuinely glad to help when asked.

When to ask (timing matters more than wording)

Right after a win

When a client says "this is great" or "this saved us so much time" — that's the moment. Reply with: "That means a lot — would you be willing to say that in a quick testimonial?"

At the end of a project

Freelancers and agencies: build a testimonial request into your project wrap-up checklist. The client is happy, the relationship is fresh, and the results are visible.

30–90 days after purchase

For SaaS and recurring products: wait until the customer has actually used the product and seen results. An automated email at day 30 or 60 is the sweet spot.

When someone compliments you unprompted

A tweet, a DM, a 5-star review — these are testimonials in the rough. Ask if you can use it, or reply with a link to leave a fuller one.

Make it as easy as possible

The biggest barrier to testimonials isn’t unwillingness — it’s friction. Your client wants to help, but they don’t want to write an essay, figure out a portal, or create an account. Remove every obstacle.

Give them a single link to click
Let them write a short sentence or record a quick video
Tell them it takes 2 minutes
Give them permission to keep it brief
Ask them to fill out a long form
Make them create an account
Send a vague request with no link
Ask for a "detailed review" — that's work

Using a collection link

The cleanest way to collect testimonials is a dedicated collection link — a URL you share that opens a simple form where customers can write a testimonial or record a short video directly in their browser. No account needed on their end.

With Vouchnest, you create a space, get a link, and share it anywhere: email signature, post-purchase email, receipt, Slack message, or a “leave a review” button on your site. Every submission goes into a moderation queue — nothing goes public until you approve it.

01

Create a space

Name it after your product, pick a brand color.

02

Get your link

Share it in emails, receipts, or your site footer.

03

Approve & embed

Approve the best ones, then embed the wall in two lines of HTML.

Copy-paste templates

Replace the bracketed placeholders with your details. Don’t overthink it — the templates that work are the ones that sound like you.

Friendly email

Subject: Quick question about your experience

Hi [Name],

I hope things are going well! I wanted to reach out because [product/service] has been a big focus for me lately, and honest feedback from people like you means a lot.

Would you be willing to share a few sentences about your experience? It doesn't need to be long — just what you'd tell a friend if they asked whether [product/service] was worth it.

If you're up for it, here's the link: [your collection link]

It takes about 2 minutes, and you can even leave a short video if you'd prefer. Either way works!

Thank you so much — I genuinely appreciate it.

Subject: Request for a testimonial — [Product/Service Name]

Dear [Name],

Thank you for choosing [Product/Service Name]. I hope it has been delivering value to you and your team.

I'm in the process of gathering testimonials from our clients, and your perspective would be genuinely valuable. If you're willing, I'd appreciate a brief written or video testimonial about your experience.

You can submit one here: [your collection link]

The process takes about 2 minutes. A few sentences is more than enough.

Thank you for your time, and please don't hesitate to reach out if there's anything I can do for you.

Kind regards,

Short DM / SMS
Hey [Name]! Quick favour — would you be open to leaving a short testimonial about [product/service]? Takes 2 min: [your collection link]

Even a sentence or two would mean a lot. Thanks! 🙏

A few things that make a real difference

Personalise the opening line

"I remember you mentioned X" or "Your project was [specific detail]" goes a long way. Even one sentence of personalisation dramatically improves response rates.

Ask one specific question

Instead of "tell us about your experience", try "What was the one thing about [product] that surprised you most?" Specific prompts get specific (and better) testimonials.

Follow up once, politely

People forget. A single follow-up 3–5 days later ("Just circling back in case this got buried") often doubles the response rate. Don't follow up more than twice.

Offer a video option

Some customers would rather talk than type. Having a video option ("or record a 30-second video — whichever is easier") increases overall conversions.
